Release Notes - Project & Invoice Allowances

Scope creep is one of those things everyone knows is coming and nobody loves dealing with when it arrives. A client changes direction, a platform updates mid-project, a deliverable takes three more rounds than expected. If you haven't planned for it, you're either eating the cost or having an uncomfortable conversation.

Allowances are how you plan for it. Think of them as a built-in contingency budget -- visible to you, trackable as the project moves, and easy to pass through to the client on an invoice when you need to. You set it upfront, spend against it as surprises happen, and your client always has a clear picture of where things stand.

Here's what's now available in Wethos:

Track project allowances and put them on invoices

  • Project allowances — On the project Team page you can now create and manage allowances per project. Set an allowance as a flat dollar amount or a percentage of the project. Add spend records (description and amount) so you can see what’s been used and what’s left.

  • Budget at a glance — The project team budget chart now includes allowances so you can see how allowance spend fits with the rest of the budget.

  • Invoice allowances — When editing an invoice you can add allowance spend to the invoice, see a total for allowances, and remove a spend line from an invoice if needed. Allowances appear on the invoice PDF so clients see a clear breakdown.

  • Project-linked only — Allowances are only available when the invoice is linked to a project. If the invoice isn’t linked to a project, or there’s no allowance spend to add, the app makes that clear.

How to use Allowances in your projects

  • Smoother editing — Autosave on project and scope fields no longer overwrites what you’re typing; there’s a short delay so your edits are preserved.

  • Better errors — If saving a client update or loading the dashboard chart fails, you’ll see a clear message and can correct and retry instead of a generic error.

  • More reliable defaults — When adding services or scope items without a role, the app now picks the right default role (e.g. “Other” or Account Strategist) consistently across different accounts and environments.

  • Easier on small screens — The percentage/dollar toggle and related controls are more usable on smaller screens and no longer cause layout jumps.

  • Accessibility — Menus on contact and note cards now close and return focus correctly when you choose an action, improving keyboard and screen-reader use.

  • Stability — Updates to sign-in and background services reduce duplicate calls and keep the app more stable during login.
